J ob Description:

As the DTN’s office assistant, you will be responsible for welcoming visitors and answering the telephone and replying to emails with a prompt, professional and efficient manner. You will be dealing with customer enquiries, as well as dealing with the day-to-day activities and tasks in Utrecht office. The position demands accuracy, attention to detail, computer expertise and general initiative. A willing team spirit to contribute to the pleasant working environment is essential.

This is a part-time role (3 full days per week, or alternatively 4 to 5 half days), with fixed working days on Tuesday to Thursday . On these days, on-site presence in the office is mandatory due to the nature of the role. In occasional cases, working from home may be permitted subject to prior agreement with the Head of House/manager.

What you will be responsible for:

Handles the day-to-day administrative operations, provides a multiple of tasks to support all departments and staff based out of the Utrecht office
Answering phones in a timely and polite manner, route calls to the appropriate individual or department as needed, taking detailed and accurate messages when necessary
Serve as the single-point-of-contact at the office with regards to mail, supplies, parcels and office refreshments such as fruit and drinks
Arranging non-standard travel bookings and/or changes for management and employees
Maintaining contacts with our travel agent
Welcome and provide general support to visitors
Assists in scheduling meetings and appointments
Maintaining the office management handbook with all operational procedures, important contact details and work instructions
Managing the stationery, coffee and cleaning supply stock levels and ordering
Managing all incoming and outgoing mail
Resolve office-related malfunctions and respond to employee requests or issues
Liaise with Courtyard-reception and facility management vendors, including cleaning, catering, mail, coffee and security services
Maintaining the office condition and arranging necessary repairs
Manage the issuance and administration of employee access / parking cards in conjunction with HR
Assist HR and Recruitment in the onboarding process for new hires
Support and maintain the office operations and procedures
Assist in making travel arrangements and restaurant bookings
Occasionally carry out clerical duties such as filing, copying, printing and mailings
Assist in the planning of in-house or off-site activities, like get togethers, parties, celebrations and conferences
Keeping the work area clean and neat at all times

What you will bring to the role:

Experience as Administrative Assistant/Office Assistant.
Languages: Fluency in English and Dutch. Other languages will be a plus
Good knowledge of Microsoft Office and agenda planning tools
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in Microsoft Office365 (Excel, Word and Outlook, in particular)
Hands-on experience with office machines (e.g. binding machines, multifunctional printers).
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
A creative mind with an ability to suggest improvements
Used to work in an international environment
First Aiders (BHV) certification

The targeted hiring base pay range for this position is between € 26,906 and € 35,875 annually. (Note, this range is for full-time, and the final offer may differ for part-time). DTN is a pay for performance organization, which means there is the opportunity to advance your compensation with performance over time. The actual base pay offered for this position will be dependent upon many factors, including but not limited to: prior work experience, training/education, transferable skills, business needs, internal equity and applicable laws. The targeted hiring base pay range is subject to change and may be modified in the future. This role may also be eligible for market competitive variable pay and benefits.
