HR Coordinator

About us

Gimas Ship Supply & Services B.V. is a trusted ship supplier with over 30 years of experience, delivering high-quality products and services to ships around the world. We are looking for a motivated and detail-oriented HR Coordinator to join our team on a full-time basis (40 hours per week).

About the role

The role will support the full employee life cycle, from hiring and onboarding through offboarding, while ensuring smooth day-to-day HR operations. You will assist with payroll and collaborate closely with our external accountant, manage contract administration and follow-up, and act as the first point of contact for operational HR issues. Alongside your HR duties, you will also provide occasional administrative support to our Regional Manager. This position requires strong organizational skills, attention to detail, flexibility, and the ability to keep HR processes running smoothly.

Key Responsibilities

Assist with payroll processing and collaborate with the external accountant to ensure accurate and timely payments.
Manage the full employee life cycle: hiring, onboarding, and offboarding of staff.
Prepare, administer, and follow up on employment contracts, ensuring timelines (probation periods, renewals, end dates) are tracked and met.
Act as the first point of contact for employees on operational HR issues and questions.
Maintain accurate, complete, and audit-ready HR documentation and personnel files.
Track and follow up on sick leave and absences, ensuring correct registration and compliance with company policy and Dutch regulations.
Assist in organizing internal company events and employee engagement activities.
Support HR administration in line with company policy and Dutch/EU labor regulations.
Provide day-to-day administrative and organizational support to the Regional Manager as needed, such as managing correspondence, scheduling, and other ad-hoc tasks.
Collaborate with management and colleagues to continuously improve HR processes and the employee experience.

Candidate must have

Minimum 1-2 years of hands-on experience in HR administration, HR coordination, or a similar HR role.
Experience with payroll processes and working alongside external accountants/payroll providers is a plus.
A flexible, hands-on attitude, with the ability to comfortably manage shifting priorities and occasional ad-hoc requests in a fast-paced environment.
Strong organizational skills with high attention to detail, especially for contract and documentation administration.
Knowledge of Dutch employment law and HR compliance requirements preferred.
Strong written and verbal communication skills in English. Dutch is a plus.
Excellent computer skills, including MS Office applications; experience with HR systems is a plus.
Discreet, reliable, and a strong team player with a sense of ownership.
University level qualification (HR, Business Administration, or related field) or comparable experience.
