We are looking for a highly organized, detail-oriented Office Support Administrator to help keep our Hoofddorp office and EMEA operations running smoothly.
This is a fast-paced role for someone who takes ownership, works well independently, and enjoys being the person who makes sure the details are handled. You’ll manage a wide variety of administrative and operational responsibilities while supporting a collaborative office team.
The ideal candidate has a high degree of attention to detail, a strong sense of urgency, and the ability to meet deadlines without sacrificing accuracy. You should be comfortable navigating changing priorities, anticipating needs, and identifying potential issues before they become problems.
What You’ll Do
Office & Administrative Support

Keep day-to-day office operations organized, efficient, and running smoothly.

Serve as the first point of contact for contractors and service providers.

Manage deliveries, couriers, mail, office supplies, equipment, and building services.

Coordinate meeting rooms, office events, and internal meetings.

Maintain accurate and organized files and documentation.

Provide general administrative support to the Hoofddorp Operations team.
Operations & Team Support

Support planning and logistics for customer, sales, and team meetings.

Coordinate travel arrangements and itineraries for the EMEA team.

Organize team activities, lunches, events, recognition programs, and other employee initiatives.

Provide basic IT setup support for laptops, cables, desks, and other office hardware.

Assist with operational reporting and KPI preparation.

Process invoices accurately and on time.

Support expense tracking, documentation, and month-end activities.

Take on ad-hoc projects and tasks as priorities change.
What We’re Looking For

Previous experience in office administration, executive assistance, operations support, or a similar role.
- Able to work 32 hours a week (required to be in office, 4-5 days/week)

Exceptional attention to detail and a strong commitment to accuracy.

A strong sense of urgency and the ability to consistently deliver work on deadlines.

Ability to anticipate needs, identify issues before they surface, and take action without waiting to be asked.

Highly organized with the ability to manage multiple priorities in a fast-moving environment.

Comfortable working autonomously while remaining a collaborative and supportive team member.

Excellent communication and interpersonal skills with a positive, can-do attitude.

Strong Microsoft Office skills, particularly Outlook, Excel, and Word.

Fluent in both Dutch and English, written and spoken.

Experience with invoices, expenses, or basic finance administration is a plus.
