The Role

We are looking for a high-energy, organized, and service-minded Junior Office Manager to join our Office Management team (consisting of one other Office Manager). You will manage the daily rhythm of the office, from warm welcomes and ensuring our office is running smoothly to managing vendors and helping organize our internal company events. This is a hands-on role that balances hands-on hospitality with focused administrative coordination. You thrive on variety: managing a broken coffee machine one moment and planning a company party the next. Given that this role is in-office only, we only accept applicants that live in Eindhoven or in the Eindhoven area.

What you'll do

Front Desk & Hospitality: Act as the first point of contact for guests, candidates, and partners. Manage all incoming mail & deliveries.
Keep the Office running: Take pride in keeping our office running and pristine. Coordinate with cleaning crews and maintenance vendors. You aren't afraid to roll up your sleeves to ensure our office, meeting rooms and kitchens are guest-ready at all times.
Supplies & Inventory: Own the procurement for office supplies, groceries, snacks, and company swag. Ensure coffee is always flowing and the pantry is stocked.
Company Events: Together with the broader HOT team (our HR team) and our current Office Manager, you keep a consistent flow of good vibes, events, presents (like Christmas packages) and special moments going. You are creative in organizing "special moments": office drinks, themed lunches, and small internal team-building activities (e.g., summer ice creams, holiday decorations).
Facilities & Safety: You work with our Finance & Legal teams to ensure health and safety compliance (RI&E) and collaborate with IT to manage local vendor relationships (landlord, internet, alarms).
Onboarding Logistics: Ensure new hires have a seamless Day 1 experience and know where to go and how our barista coffee machine works.

What you bring to the table

Personally

Hospitality Mindset: You are naturally service-oriented. You notice when a guest needs water or when a meeting room chair is out of place.
Proactivity: You scan the office every single day and bring new, fresh ideas of what we can do to improve things even more. The office is your domain.
Adaptability: You are comfortable switching gears quickly between getting our coffee machine fixed and negotiating quotes for company events.
Organizational Skills: You enjoy structure and have a knack for details. You rarely drop the ball on a booking or a delivery.

Professionally

Experience: 1–4 years of experience in a similar role (reception, hospitality, administrative assistant, office coordination, etc.).
Fluent in English is a must, Dutch language is preferred as well - written and spoken
Tech-Savvy: Comfortable using Google Workspace (Calendar, Gmail, Google Drive, Docs, Sheets, etc.), Slack, and travel booking tools.
