Role Summary
The Executive Assistant provides high-level executive, administrative and operational support to the Vice President Europe and the European Leadership Team. The role is designed to keep the European leadership agenda moving efficiently by coordinating executive priorities, managing communication flow, preparing leadership materials, tracking actions and supporting strategic business activities across Europe. The primary focus is executive support for the VP Europe and the wider European team; HR-related activity is limited to coordination and administrative support where required.
- Provide direct executive support to the Vice President Europe and members of the European Leadership Team.
- Manage complex executive calendars, meeting schedules and competing priorities across multiple countries and time zones.
- Coordinate domestic and international travel, customer visits, executive meetings and leadership events.
- Prepare agendas, presentations, briefing packages, meeting minutes and action item trackers.
- Support preparation of Executive Committee reviews, business reviews, program reviews and customer presentations.
- Track strategic actions, decisions and deliverables across the European organization.
- Act as a key liaison between executives, employees, customers, partners and external stakeholders.
- Draft, edit and coordinate executive communications, reports and presentations.
- Support confidential business activities, including strategic planning, commercial initiatives and organizational projects.
- Assist with the coordination of European leadership meetings, off-sites, workshops and special events.
- Serve as a central coordination point for European leadership activities.
- Support communication and collaboration across European functions, locations and programs.
- Coordinate reporting activities, meeting schedules and executive updates across Europe.
- Support customer visits, demonstrations, trade shows, conferences and executive engagements.
- Ensure timely follow-up and completion of leadership actions and commitments.
- Coordinate office-related activities and external vendors as required.
- Support documentation, record management and business correspondence.
- Maintain executive records, filing systems and key business documentation.
- Provide administrative support to cross-functional activities when required; this is not the primary focus of the position.
- Minimum 3 years of experience as an Executive Assistant supporting senior executives.
- Experience supporting Vice President, Managing Director or Executive-level leadership preferred.
- Experience working within international and multicultural organizations.
- Advanced proficiency with Microsoft 365, including Outlook, Teams, PowerPoint, Word, Excel and SharePoint.
- Strong organizational, planning and project coordination skills.
- Ability to handle highly confidential information with professionalism and discretion.
- Fluent Dutch, spoken and written – mandatory.
- Fluent English, spoken and written – mandatory.
- European language skills are considered a strong asset.
- Exceptional organization, prioritization and follow-through.
- Executive presence and professional communication style.
- Strong stakeholder management and intercultural communication skills.
- Ability to work independently with minimal supervision.
- High level of discretion, confidentiality and sound judgement.
- Proactive, solution-oriented mindset with strong attention to detail.
- Ability to thrive in a fast-paced, international environment.
Hybrid work environment with a minimum of three days per week in the office. Occasional travel within Europe may be required.
Must be eligible for local security clearance in accordance with program requirements.
