We are seeking a Finance and Office Assistant with strong bookkeeping and financial administration skills in combination with a hands-on, people-friendly approach – Part-time 24/32 hrs/week negotiable

Role
The Finance & Office Assistant keeps FononTech's day-to-day financial administration accurate and running smoothly while ensuring the office functions as a professional, well-organised environment. The role combines hands-on bookkeeping and finance support across multiple legal entities with practical office and facility coordination. A broad, autonomous position suited to someone who is equally comfortable with ledgers and with people.

Key responsibilities

Finance & administration (75%)

Process accounts payable and accounts receivable: booking invoices, preparing payment runs, and monitoring outstanding items across multiple entities.
Perform daily bank reconciliation, ensuring incoming and outgoing transactions are matched and booked accurately across entities.
Maintain the general ledger and support accurate bookkeeping in the ERP system (Epicor).
Assist with month-end and year-end closing, including reconciliations, accruals, and supporting schedules.
Prepare and submit VAT returns and support other statutory and intercompany filings.
Manage expense claims, credit card administration, and travel reimbursements.
Administer the company's insurance policies: maintaining coverage records, handling renewals, and liaising with insurers and brokers on claims and queries.
Support the Finance Manager with reporting, budgeting input, and audit preparation.
Maintain orderly, audit-ready financial records and documentation.

Office & facility support (25%)

Act as first point of contact for office-related matters, suppliers, and service providers.
Coordinate facility management: supplies, contracts, maintenance, and office services.
Support visitor management and reception coordination at the campus.
Assist with onboarding logistics for new hires (workspace, access, equipment) in coordination with HR and IT.
Organise practical support for meetings, events, and international visitors.
Handle general administrative tasks that keep the office running efficiently.

About you

You're accurate, organized, and detail-oriented, and you take real ownership of your work. You're proactive and hands-on, just as happy digging into the finances as jumping in to sort out practical office stuff. You know how to handle sensitive financial and personnel info with discretion. You're approachable and service-minded and you communicate easily in an international setting. You're comfortable working independently and juggling priorities in a company that's growing fast.

Qualifications

Must-have

MBO+/HBO level education in finance, accounting, business administration, or equivalent.
3–8 years of experience in a finance-administrative and/or office support role.
Solid bookkeeping knowledge (AP/AR, GL, reconciliations, VAT basics).
Experience with an ERP system; Epicor experience is a strong plus.
Strong MS Office skills and comfort with digital tools.
Fluent English, both written and spoken; Dutch strongly preferred.
