The Office Assistant plays a key role in supporting the efficient operation of the Netherlands office by providing administrative, office management, personal assistant, and HR support services. Your responsibilities in this role include:

Provide day-to-day support to the General Manager and, where required, the wider team

Manage complex calendars, schedule meetings, coordinate appointments, and ensure all supporting documentation is prepared in advance

Monitor and manage the General Manager’s mailbox, responding to and actioning requests where appropriate

Arrange domestic and international travel, including flights, accommodation, transportation, and visa requirements
-
Prepare meeting materials, agendas, and supporting documentation

Coordinate and organise management and team meetings, including recording actions and decisions and producing meeting summaries in English where required
Office Management

Act as the primary point of contact for office facilities, including landlord and cleaning service providers

Obtain and compare supplier quotations and support purchasing activities

Maintain office supplies and coordinate ordering requirements

Organise company events, including seasonal celebrations, employee gatherings, and customer events
-
Welcome visitors and ensure a professional visitor experience
-
Manage incoming telephone enquiries and direct them appropriately
Administration

Process employee expense claims and declarations

Review, verify, and prepare invoices for processing

Maintain vehicle and mileage administration records

Support general administrative activities required for efficient office operations
Human Resources Support

Assist with employee onboarding and offboarding processes

Process sickness absence and return-to-work notifications

Coordinate employee training and development activities
-
Monitor and maintain time registration records

Process employee data changes and HR-related administrative updates

Support HR compliance and record-keeping activities
Apply if you have most of the following:

Demonstrable experience in a similar Office Assistant or Business Support role

Experience supporting senior managers and coordinating multiple priorities simultaneously

Experience providing HR administrative support, including onboarding, absence management, and employee records

Experience organising meetings, travel arrangements, and company events

Proven ability to work independently while maintaining a high level of accuracy and attention to detail
Technical Skills/Education

Strong verbal and written communication skills in both Dutch and English

Proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams

Strong organisational and administrative skills

Ability to quickly learn and adopt new systems and technologies
Desirable

Experience working with ERP systems such as IFS, Exact, SAP, or similar business systems

Relevant administrative, business support, or office management qualification

Ability to work on-site within the Netherlands office environment

Flexibility to support occasional company events outside standard working hours
