What will your challenges be?
_Personal Assistance
Manage the agenda, incoming e-mail, telephone calls and mails. Prioritise and handle work independently as far as possible and discuss if necessary with Director. Monitor and follow-up deadlines and take appropriate action if and when required. Write communication (taking minutes, correspondence) in different languages and ensure required high quality of outgoing correspondence (e.g. lay-out, language, style, accuracy). Organise meetings on behalf of Director, invite participants and take care of required documents, catering, meeting rooms, required materials and equipment, both internally as well as externally. Organise business travelling (world-wide). Act as hostess for guests of Director. Ensure confidentiality of information.
_Cluster Assistance
Assist Cluster Management if and when required. Write communication (taking minutes, correspondence) in different languages and ensure required high quality of outgoing correspondence (e.g. lay-out, language, style, accuracy). Organise meetings, follow-up deadlines and take appropriate action if required. Act as a key-user for installed software or printers and assist when necessary with solving problems. Ensure availability of office materials.
_Document Control
Manage the document flow (e.g. contracts, drawings and specifications) with third parties and, if applicable, keep a distribution matrix up-to-date. Send various documents after instruction of Director or Management to involved third parties. Archiving and ensure traceability of information and documents.
_Projects
Organise and execute assigned projects. Project and budget are defined by Director. Negotiate prices with third parties for required services, e.g. for catering or events. Represent the company at events and take care of coordination. Keep Director informed about progress and costs.
What do we ask for?

Fluency in both English and Dutch

MBO or HBO/Bachelor's degree

Minimum of 5 years’ proven experience in a similar role, preferably within a similar environment

You recognize yourself in the following competences: hospitality, organization engagement, pro-active, problem-solver, result oriented

Expert knowledge of MS Office applications
