About the Role
As Pharming continues its international expansion and launch of innovative therapies across new markets, we are seeking a highly organized and proactive International Team Assistant to support our growing International organization.
In this role, you will provide comprehensive administrative, operational, and coordination support across multiple functions, including the UK affiliate, Medical Affairs, Market Access, and Commercial teams. Acting as a central point of coordination, you will help ensure smooth day-to-day operations, effective collaboration across stakeholders, and efficient execution of business activities in a fast-paced international environment.

Key Responsibilities
Administrative & Team Support
- Provide proactive administrative support to the International team and cross-functional stakeholders.
- Coordinate internal and external meetings, workshops, off-sites, and leadership meetings.
- Manage complex calendars, travel arrangements, and logistics where required.
- Support the organization of congresses, conferences, and company events.
Contract & Vendor Management
- Coordinate the preparation, review, approval, and tracking of contracts with vendors, consultants, speakers, and service providers.
- Ensure contracts are processed in line with company policies and compliance requirements.
- Maintain contract documentation and monitor key milestones, renewals, and deliverables.
- Liaise with Procurement, Legal, Finance, and Compliance teams to facilitate timely processing.
Financial & Operational Support
- Create and manage purchase orders (POs).
- Support invoice processing and payment follow-up.
- Monitor budgets and track expenditures across supported functions.
- Process and reconcile expense reports accurately and in a timely manner.
UK Affiliate Support
- Support the UK team with operational activities including contract management, compliance processes, purchase orders, event coordination, and CRM-related activities.
- Coordinate timelines, deliverables, and follow-up actions across multiple stakeholders.
Compliance & Documentation
- Maintain accurate documentation and records in accordance with company policies and applicable regulations.
- Support audit readiness and document retention processes.
- Ensure administrative activities are completed in compliance with internal procedures and industry standards.
Your profile:
Qualifications & Experience
Education
- Bachelor's degree in Office Management, Event Management, Business Administration, or a related field, or equivalent relevant experience.
Experience
- 3–5 years of experience in an Executive Assistant, Team Assistant, Administrative Coordinator, or similar support role.
- Experience supporting senior leaders and cross-functional teams in an international environment.
- Experience managing contracts, purchase orders, invoices, and expense reporting processes.
- Experience organizing meetings, conferences, congresses, and events.
- Experience within the pharmaceutical, biotechnology, healthcare, or life sciences industry is preferred.

In addition, we offer:
- A gross annual salary of €50,000 to €70,000, including 8.33% holiday allowance, based on full-time employment
