Position Summary:
The Clinical Education Coordinator is primarily responsible for providing administrative and operational support across physician engagement activities within EMEA and selected APAC programs. This includes contracting support, compliance documentation, payment coordination, and training logistics, ensuring accurate execution of all related workflows for external Professional Education programs.
The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while interacting professionally with physicians, faculty, and internal stakeholders.
Roles and Responsibilities:
- Coordinate on-demand education requests, including registration, communications, travel, accommodation, and administrative follow-up
- Support hybrid training programs, including coordination of participants, materials, and event execution
- Maintain accurate records in CRM and internal systems, ensuring data quality and consistency across training activities
- Manage logistics for training materials and educational equipment used in physician training programs in collaboration with the supply chain team
- Collaborate with the Marketing team to support educational congress activities, including logistics, communications, and onsite coordination.
- Support preparation, distribution, and tracking of training materials and post-event documentation
- Support compliance documentation and submission processes for physician engagement activities
- Support reimbursement and payment coordination in collaboration with Finance teams
- Track and monitor invoicing and ensure adherence to post-event processing timelines
- Support cross-functional communication with internal teams including Operations, Finance, Compliance, Legal, and Marketing
- Manage shared mailbox requests and ensure timely follow-up on operational inquiries
- Provide general administrative support to ensure smooth execution of Professional Education activities
Basic Qualifications:
- Bachelor's degree preferred (or equivalent experience in operations, administration, or event coordination)
- 2–4 years of experience in administrative coordination, events, training support, or operations
- Strong organizational and time management skills with ability to manage multiple priorities
- Excellent communication skills and ability to interact professionally with physicians and internal stakeholders
- Experience with CRM or operational systems preferred
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to work in a structured, compliance-driven environment
- Ability to travel up to 20% for on-site support as needed
