As our HR Operations Specialist, you will play a key role in delivering efficient HR administration and continuously improving our people’s processes. Your responsibilities will include supporting the employee lifecycle, from employment and onboarding to absence management, documentation, payroll data administration, and HRIS management. You will be part of a remote People & Culture team supporting the BeNeLux region, helping to ensure a best-in-class employee experience through exceptional service, operational excellence, and process optimization.
Key Responsibilities

Manage HR administration activities and respond to employee and manager requests with accuracy and efficiency through ServiceNow and other HR systems

Support the full employee lifecycle in Workday and related systems, including onboarding, offboarding, transfers, promotions, salary changes, and verification of required documentation and employee data updates

Maintain accurate employee records and prepare HR documentation, such as employment contracts, salary letters, deduction agreements, and other personnel documents

Coordinate monthly payroll activities for Belgium and Luxembourg, preparing payroll data and working closely with Finance and external payroll providers

Ensure employee data accuracy and compliance while collaborating with auditors, local authorities, and other internal stakeholders

Drive continuous improvement of HR processes, service delivery, execution, and technology utilization to enhance operational efficiency and employee experience

Contribute to HR projects and initiatives while providing guidance on HR-related inquiries and directing employees to the appropriate teams when needed
What we need to see from you:
- Several years of experience in HR administration, ideally within a modern, digitalized organization

Experience supporting HR operations in the BeNeLux region, with a strong understanding of labor legislation in at least one BeNeLux country and a willingness to learn about the others

Strong integrity, discretion, and the ability to handle confidential information while working independently in a remote and international environment

Excellent organizational and time management skills, with the ability to prioritize and adapt in a fast-paced, changing environment

A process-oriented mindset combined with strong analytical skills, attention to detail, and confidence working with data and Excel

A proactive, self-managing approach with a focus on accuracy, continuous improvement, and efficient process execution

A collaborative team player who thrives in a matrix organization and can build strong working relationships across a geographically dispersed remote team
