Prepare and manage annual budget for Facilities services to the office, reporting accruals and reforecasting on a monthly basis.

Management of Facilities vendors such as cleaning and mechanical, ensuring agreed scopes are adhered to.

Management of workplace health and safety, to include providing relevant certificates and inputting into H&S system, Meridian.

Process supplier invoices and raise purchase orders.

Develop positive relationships with service providers, ensuring standards and scope of service are met.

Complete all reception tasks including meeting room reservations, timely delivery and prompt removal and disposal of catering items.

Sign in all visitors and issue / retrieve visitor passes. Respond to any visitor enquiries in a friendly and professional manner.

Complete meeting room inspections and resolve/report any issues on a daily basis.

Complete monthly Space Planning and Site Inspection reports and quarterly H&S inspection.

Booking and receiving mail through courier companies.

Management and ordering of general office supplies.

Support in any emergency evacuation plans in capacity as fire marshal.

Ensure client security processes are followed to include the signing in of visitors and issue/retrieve visitor passes.

- Collection of guest visitors as and when required

Complete all reception tasks and oversee the catering activities, , guest & contractor registration including meeting room reservations, timely delivery and prompt removal and disposal of beverage/catering items as required.

Develop positive relationships with clients, local management and service providers.
- Management of mail and processes for sending either through internal / external mail. This includes booking and receiving mail through courier companies.

Raising reactive tickets as and when necessary

Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.
