Executive Assistant
Minimum required Education:
High School Diploma, Vocational Education.

Minimum 10 years of experience in Administrative Support, Clerical Support or equivalent.
Your Challenge:
We are seeking an experienced Executive Assistant to support the CXE Leader, as well as leader from the CXE Leadership Team. You will be based at our head office in Amsterdam.
This is a high-trust role for someone who combines excellent executive assistance with strong judgment, emotional intelligence, discretion, and team orientation. The purpose of the role is to enable effective, kind, and inspiring leadership through great time management, planning ahead , structure, follow-through, and respect.
The role goes beyond traditional administrative support. The successful candidate will help protect leadership time and energy, create a strong operating rhythm for the CXE Leadership Team, and support a stretched organization of approximately 100 team members with clarity, care, and well-organized team moments.
Your role:
Perform independently and proactively the full range of executive support tasks, including screening correspondence, managing complex calendars, preparing meeting materials, taking minutes, coordinating follow-up actions, and managing delegated email and functional mailboxes.
Own the CXE Leader’s calendar as a strategic leadership tool: prevent overlaps, avoid unnecessary late cancellations, lock the calendar at least 48 hours ahead where possible, protect daily focus time, and ensure meetings reflect the right business priorities.
Act as a trusted gatekeeper and judgment partner: challenge unclear or low-value meeting requests, prioritize meetings with the leader’s manager and CXE Leadership Team, and know when to decide independently versus when to check.
Create a disciplined weekly operating rhythm with the CXE Leader, including two protected weekly check-ins to review priorities, calendar risks, preparation needs, stakeholder requests, decisions, and follow-up actions.
Support the CXE Leadership Team operating rhythm, including LT meetings, agendas, room bookings, hybrid setup, materials, minutes, action tracking, decision follow-up, and maintaining an overview of holidays, travel, and absences.
Help create a more connected and engaging team environment by supporting townhalls, listening sessions, team meetings, recognition moments, onboarding/farewell moments, offsites, workshops, and follow-up on engagement-related actions.
Manage all aspects of domestic and international travel, including visa applications, flights, accommodation, transportation, travel packs, and related expense processing in compliance with company policy.
Create purchase orders, monitor related invoices, support budget tracking, process expenses, and manage relevant administration using tools such as Microsoft Office 365, Workday, and Concur.
Serve as a warm, professional, and discreet first point of contact for internal departments, team members, other assistants, senior stakeholders, and external contacts on behalf of the CXE Leader and Leadership Team.
Assist in organizing high-profile events, workshops, conferences, offsites, and leadership moments, including preparing materials, ensuring technical setup, overseeing logistics , liaising with senior stakeholders, and ensuring a thoughtful participant experience
You're the right fit if:
You have a minimum of 10 years of work experience as an Executive Assistant, Senior Executive Assistant, Executive Business Partner, or in a senior administrative support role within a dynamic, matrixed, and international environment.
You have proven experience supporting senior executives and leadership teams, not only through administration, but also through strong judgment, prioritization, stakeholder management, and follow-through.
You are highly organized, proactive, and able to create structure in a busy and ambiguous environment, while maintaining meticulous attention to detail.
You are confident managing complex calendars, travel arrangements, expense reports, procurement processes, team meetings, and leadership events using Microsoft Office 365, Workday, Concur, and related tools.
You understand that executive time is a critical resource and are comfortable protecting focus time, challenging unnecessary meetings, managing trade-offs, and respectfully pushing back when needed.
You have excellent interpersonal and communication skills and can work effectively with individuals at all levels of the organization, across multiple geographies, time zones, and cultural contexts.
You bring warmth, maturity, emotional intelligence, and discretion, and you are comfortable handling confidential information, sensitive topics, and senior stakeholder interactions with integrity.
You are team-oriented and understand how strong meeting discipline, clear communication, recognition, planning, and follow-up can contribute to a better employee experience.
