Are you a Senior Executive Assistant who thrives on creating structure, anticipating what’s needed and confidently challenging senior stakeholders when there’s a better way?
Working closely with our CEO and Executive Team, you’ll help ensure the CEO’s time is focused on the right priorities, leadership meetings are well prepared and decisions turn into action. You’ll anticipate what’s coming, identify what needs attention and ensure the CEO has the right information and context to stay ahead.
Meeting Management: Own the preparation of Executive Team meetings. You’ll set agendas, collect pre-reads on time and review materials critically for clarity, quality and completeness. You’ll identify what’s missing and make sure the team has the right information for effective decision-making.
Decision & Action Tracking: Keep track of key decisions, deadlines and follow-up actions. You’ll actively follow up with Heads of Departments, make sure commitments are clear and escalate when deadlines or agreed actions are at risk.
Calendar & Priority Management: You’ll actively challenge whether meetings need CEO involvement and redirect where appropriate, resolving conflicts and prioritising requests based on business needs. You’ll act as a trusted gatekeeper, protecting time for the topics that matter most while anticipating what’s coming and adapting when priorities change.
Stakeholder Management: Act as a trusted point of contact between the CEO, Executive Team and wider organization. You’ll be approachable and relationship driven while comfortable giving candid feedback and saying “no” when needed.
Internal Meetings & Events: Organize all-company meetings and support Leadership Team off-sites, coordinating agendas, materials and logistics to make sure everything runs smoothly.
Executive Support (10%): Manage the CEO’s inbox and correspondence, financial administration and expenses, and travel and logistics. You’ll use digital and AI tools effectively to work smarter, improve follow-through and reduce unnecessary administration.
A Trusted Partnership: You’ve built a strong working rhythm with the CEO and Executive Team. You anticipate what’s coming, identify what needs attention and operate with a high level of independence and judgement.
Better Meetings, Clearer Action: Executive Team meetings are well prepared, with clear agendas, strong pre-reads and the right information available. Decisions and actions are tracked, owners are held accountable and commitments don’t get lost.
More Structure, Less Follow-Up: You’ve brought structure to a busy agenda and recurring processes, freeing up the CEO and Executive Team to focus on what matters most.
Essential
5+ years of experience as an Executive Assistant in a stand alone role,,supporting C-level leadership.
Experience working in a fast-moving, international or scale-up environment where you’ve had to create structure, not just operate within it.
Highly organised, with the ability to bring structure to multiple priorities, deadlines and stakeholders without losing sight of what matters most.
Proactive and independent. You anticipate what’s coming, take initiative and know when to act, push back or escalate.
Strong stakeholder skills and judgement. You’re comfortable working with senior leadership, and giving them candid feedback. You read situations well and handle sensitive information with discretion.
Analytically sharp. You can quickly separate what matters from what doesn’t, spot gaps in information and maintain a high quality bar for materials shared with senior leadership.
Strong follow-through. You’re comfortable holding people accountable for actions and deadlines and making sure commitments don’t get lost.
Comfortable using digital tools (Powerpoint/Google Suite) and AI tools to work smarter, improve efficiency and reduce unnecessary administration.
Calm and adaptable when plans change, with the confidence to manage expectations and maintain focus.
Excellent written and spoken Dutch and English
Nice to have
Experience in a fast-moving retail, e-commerce or consumer business.
Experience organizing company-wide meetings, Board or leadership meetings, off-sites or similar events.
A high-impact role working closely with our CEO, Executive Team/Board, with real ownership and visibility across the business.
A 32 or 40 hour contract - up to you.
