Role Purpose
This role is responsible for delivering broad administrative, financial, and HR support, ensuring efficient day-to-day operations at a Survitec site. Key duties include managing banking activities, office management, coordinating with customers and suppliers, supporting payroll tasks, and the employee lifecycle. The position serves as a primary contact point for internal teams and external partners, covering a diverse range of operational and financial tasks to facilitate smooth business processes.
Key Responsibilities
Banking & Financial Administration
- Bank reconciliation
- Manual payments/FX payments, TAX/VAT payments and related tasks.
- Month end closing procedures, e.g. verifying everything is booked correctly, intercompany reconciliations etc.
- Manage daily and monthly bank statements: download, print, file, forward to stakeholders, and record in IFS systems.
- Maintain trackers, verify payments in advance, and inform relevant departments.
- Coordinate new colleague bank access, including documentation, Bank submissions, and onboarding processes.
- Handle diverse banking tasks such as insurance cheque deposits, power‑of‑attorney queries, and general queries.
- Petty Cash administration. Process employee reimbursements, scan/file invoices, and manage approvals with SSC and management.
Customer Finance & Communication
- Customer invoicing.
- Communicate with customers via email and phone to coordinate payments, clarify invoices, and issue reminders.
- Conduct customer credit checks, payment history reviews, and provide analysis.
- Support direct debit processes, data gathering, and overdue contract updates.
- Liaise with lawyers as required for insolvencies and past payment searches.
Supplier Coordination
- Contact suppliers to resolve invoice discrepancies, late fees, blocked orders, and documentation issues.
- Register new suppliers, process bank detail changes, and complete supplier forms.
- Support SSC with invoice coding, tax questions, and direct debit modifications.
Office Management
- Monitor and replenish kitchen, hygiene, and office supplies.
- Manage new mobile contracts and phone purchases.
- Act as landlord contact for facility issues and coordinate repairs where relevant.
- Organise QHSE requirements such as pest control, safety tests, and first aid maintenance.
- Post Handling including registered post for banks, authorities, customers, and employees.
- Monitor assigned email inboxes; classify, forward, and respond to enquiries.
- Manage car lease and fuel card administration
HR & Payroll Administration
- Manage onboarding tasks: contracts, documentation, timesheets, payroll data, and employee equipment (e.g laptop, mobile, fuel card).
- Handle offboarding: notify tax/loan office, manage equipment returns, update payroll and accruals, file resignations.
- Record and send monthly holiday and overtime accruals.
- Organise timesheets, overtime requests, meal expenses, and payroll files for submission to tax/loan office.
- Validate payslips, coordinate approvals, distribute copies, and investigate discrepancies.
