POSITION SUMMARY
The Rental Contract Administrator manages the complete contractual lifecycle of all lease agreements. This includes contract registration, processing contractual changes, ensuring legal and financial compliance, and safeguarding the accuracy of all contract‑driven financial flows. The role ensures that management receives accurate, timely, and contract‑compliant real estate and financial information to support effective steering and control.
RESPONSIBILITIES
Contract Management
- Registering, reviewing, and maintaining lease agreements and addenda.
- Ensuring contract terms are correctly implemented (rent, indexation, service charges, break options).
- Monitoring renewals, expirations, and contractual deadlines.
- Maintaining complete, compliant, audit‑ready lease files.
Lease Administration
- Processing all contract changes in SAP.
- Verifying unit data, rental conditions, allocation keys, and legal attributes.
- Ensuring correct registration of fixed charges and WOZ assessments.
Tenant & Stakeholder Communication
- Acting as the first point of contact for contract‑related questions.
- Coordinating with Property Management, Technical Management, Finance, and Control.
- Supporting Centre Management with contract interpretation and documentation.
Financial Administration (Supportive)
- Supporting invoicing of rents, indexations, and contractual recharges.
- Assisting with turnover rent processing and service charge settlements (content provided by Technical/Finance).
- Supporting receivables with contract‑based payment issues.
VvE Administration
- Maintaining contract‑related documentation for Owners’ Associations.
- Supporting quarterly and annual administrative tasks.
Job Requirements
Education & Experience
- MBO+ / HBO level in real estate, legal assistance, administration, or similar.
- Strong experience with lease contracts in the Dutch commercial real estate market.
- At least 3 years in contract administration, rental administration, or property management.
- Experience with SAP or similar ERP systems is an advantage.
Knowledge & Skills
- Strong understanding of Dutch tenancy law , lease structures, indexation, and service charges.
- High accuracy and attention to detail in contract data.
- Strong administrative and organizational skills.
- Fluent in Dutch and English (German is a plus).
- Familiarity with retail or commercial real estate is preferred.
