Job overview
The Interim Payroll Specialist will ensure smooth, accurate, and timely monthly payroll processing for all Urban Gym Group employees across the Netherlands and the UK and potential other European countries, while also supporting the transition to a new payroll and ERP system and end-to-end payroll flow. This role combines hands-on operational delivery with active involvement in the implementation project: you’ll keep the lights on month-to-month and contribute to the work that will set up the function for the future. You’ll work closely with the Finance Director, the HR team, and our external payroll providers.
The role has a strong operational focus and requires hands-on experience in managing payroll in a dynamic environment with a large operational workforce, including flex workers and zero-hours contracts across club operations. In addition, the role will support the integration of newly acquired entities into the Group’s payroll processes and systems, including the transition and harmonization of payroll activities previously managed outside the Group.
Goals of the role
- Run smooth, accurate monthly payroll for all Urban Gym Group clubs in the Netherlands and the UK: no surprises, no delays, employees paid correctly and on time, every month.
- Support the transition to a new payroll system and flow: contribute to scoping, implementation, parallel runs, go-live, and adoption — so it lands on time and without disruption to monthly payroll.
- Onboard international payroll provider and transition from the current payroll provider
Key responsibilities
Payroll Processing
- Manage and oversee end-to-end monthly payroll for employees in the Netherlands and the UK.
- Liaise with external payroll providers to ensure accurate and timely submission of payroll data.
- Ensure correct processing of salaries, deductions, bonuses, expenses, and benefits across all clubs.
- Coordinate payroll inputs from HR, club managers, and other internal stakeholders.
- Act as the first point of contact for payroll-related queries from employees in both countries.
- Ensure compliance with payroll regulations and tax requirements in both the Netherlands (Belastingdienst) and the UK (HMRC).
- Manage statutory requirements including social security, pension contributions, and tax filings.
- Support timely and accurate submission of payroll tax filings and statutory returns.
System & Process Transition (Project Support)
- Support the payroll transition to our new HRIS (Rippling) and new ERP (Netsuite) and end-to-end payroll flow across NL and UK.
- Contribute payroll subject-matter expertise to scoping, requirements, and decision-making.
- Assist with data migration, configuration, integrations with HR systems, testing, and parallel payroll runs.
- Act as the day-to-day liaison with vendors and external payroll providers during onboarding and go-live.
What we’re looking for
- Senior payroll professional with the ability to work independently, take ownership, and operate with minimal supervision in a dynamic environment.
- Proven hands-on experience running payroll for both the Netherlands and the UK.
- Solid working knowledge of Dutch and UK payroll regulations, tax rules, and statutory obligations.
- Experience working with external payroll providers in both jurisdictions.
- Proficient in Microsoft Excel and common payroll systems.
- Fluent in English (Dutch is a pre).
- Excellent organizational and communication skills.
- Available to start on short notice.
