We are looking for a proactive and detail-oriented Administrative Specialist to support the daily administrative and operational activities across our Europe region. This role is responsible for ensuring smooth office and warehouse operations, coordinating administrative services, supporting financial processes, and partnering with cross-functional teams to maintain an efficient and compliant working environment.
The ideal candidate is highly organized, service-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key ResponsibilitiesAdministrative Operations
· Manage the day-to-day administrative operations of the Europe office and warehouse to ensure an efficient, organized, and professional workplace.
· Oversee office supplies procurement and inventory, storage room management, mail and courier services, office facilities, workplace maintenance, and cleaning services.
· Administer the full lifecycle of company fixed assets, including asset registration, labeling, location and ownership tracking, transfers, annual inventory counts, and reporting.
· Coordinate with external vendors and service providers, ensuring effective contract execution and service delivery.
· Support employee onboarding and offboarding by coordinating administrative processes and workplace setup.
· Organize employee welfare programs, benefits distribution, and employee engagement activities, including team-building events.
· Manage company vehicle administration, including lease agreements, vehicle records, usage management, and coordination with vehicle leasing providers.
· Organize regional operations meetings and provide administrative support for regional initiatives and business operations.
Finance & Operational Support
· Process operational expense reimbursements, payment requests, and recurring payment reconciliations for office and warehouse operations, including rent, utilities, facility management, office supplies, internet, parking, and other operating expenses.
· Reconcile monthly corporate credit card expenses, covering employee benefits, office purchases, business travel, transportation, professional services, company vehicles, and other operational costs.
· Work closely with the Finance team to ensure accurate expense allocation, document verification, and timely completion of reimbursement and payment processes.
· Liaise with vendors to collect invoices and supporting financial documentation to ensure smooth payment and accounting processes.
Coordination & Administrative Projects
· Coordinate intercompany transfers of materials and fixed assets across legal entities.
· Initiate and follow up on internal approval workflows through the company's workflow (OA) system, coordinating with cross-functional stakeholders to ensure timely completion.
· Support regional administrative and finance-related projects and process improvement initiatives.
· Perform other ad hoc administrative and operational tasks as assigned.
QualificationsRequired
· Strong sense of ownership with excellent attention to detail.
· Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
· Excellent communication and coordination skills, with the ability to collaborate effectively across departments and with external vendors.
· Proactive, hands-on, and execution-oriented, with the ability to independently drive tasks to completion.
· Service-minded with the flexibility to work in a dynamic and fast-paced environment.
· Proficient in Microsoft Office applications, particularly Excel and Outlook.
· Strong learning agility with the ability to quickly adapt to new systems and internal processes.
· Basic English communication skills for cross-regional collaboration. Fluency in Chinese is a must.
