We are looking for an Export Operater - Pharma and Healthcare for our location in Amsterdam Schiphol:
Main Purpose of the Role:
The Export Employee is responsible for coordinating the movement of goods leaving the country and maintaining daily communication with customers, shippers, and logistics partners. This position plays a key role in the accurate processing and documentation of export shipments, ensuring compliance with international regulations and internal procedures.
The role includes managing pre-alerts, creating AWBs and HAWBs in the UFS system, and supporting the smooth flow of export operations. This position requires strong organizational skills, a high level of accuracy, and attention to detail. It offers an excellent entry point for a career in international shipping and logistics.
Key Responsibilities:
· Export Coordination & Communication:
Coordinate the transportation of goods from customers to warehouses. Book cargo space with airlines, negotiate rates with partners, and ensure timely shipment pickups. Maintain daily contact with customers, shippers, and suppliers, and create complete and accurate export files.
· Documentation & Compliance:
Prepare and verify all necessary export documents, including air waybills (AWBs), house air waybills (HAWBs), bills of lading, and customs declarations, using the UFS export system. Ensure all shipments comply with internal procedures and international trade regulations.
· Security & Screening:
Verify shipper clearance with the Royal Marechaussee and arrange screening of goods when required. Ensure proper formatting and accuracy of customs declarations.
· Data Management & Administration:
Perform accurate data entry related to shipping, receiving, inventory maintenance, and occasional sales orders. Support administrative tasks related to the export process.
· Financial & Vendor Follow-up:
Monitor and follow up on outstanding customer and vendor invoices. Assist in resolving past-due accounts and ensure timely financial processing.
· Problem Solving & Operational Support:
Address shipment issues such as delays, documentation errors, or regulatory concerns. Support outbound logistics operations as needed.
· Calculation & Conversion:
Confidently work with figures and convert weights, volumes, and currencies for international shipments.
Qualifications, Skills and Competencies:
· Knowledge of International Trade: Familiarity with export regulations, customs clearance procedures, and trade compliance requirements
· Strong Communication: Excellent verbal and written communication skills for effective interaction with customers, team members, and regulatory bodies
· Problem-Solving Abilities: Ability to resolve challenges such as shipment delays, documentation issues, or compliance concerns
· Attention to Detail: Precision in documentation and data entry to avoid shipment errors or regulatory issues
· Time Management: Capable of handling multiple deadlines and coordinating shipments across various time zones
· Cultural Awareness: Sensitivity and respect for diverse cultures when dealing with international clients and partners
Preferred Qualifications & Certifications:
· Employee Air Freight (Medewerker Luchtvracht) diploma
· IATA Dangerous Goods Regulations (DGR) certification
· GDP (Good Distribution Practice) training or certification
· Customs Awareness or Export Customs Procedures certification
· Fluency in Dutch and English, both spoken and written
