We are now seeking an Immigration and Expat Payroll Specialist to join our team in the Netherlands on a 6-month fixed term contract.
Based in Amsterdam (with two days per week in the office), this role reports to the Immigration and Expat Payroll Manager and forms a team with other team members within Dutch Umbrella Company.
The role
The Immigration & Expat Payroll Specialist supports clients and highly skilled migrants throughout the employment lifecycle in the Netherlands. You will manage immigration processes, employment documentation, payroll and employee support, acting as the primary point of contact for both clients and employees.
Main responsibilities:
Migration
- Advise clients and employees on Dutch immigration processes, residence permits and work permits.
- Manage relationships with the Dutch Immigration Services (IND) and coordinate all immigration applications.
- Support highly skilled migrants and their families with relocation and registration in the Netherlands.
- Ensure employees start on time and that all immigration activities are completed in line with agreed timelines.
- Maintain accurate records and ensure compliance with Dutch immigration legislation, including WAV requirements and regulatory updates.
Contracts
- Create and manage employment contracts, assignment agreements and other documentation relating to migration and employment.
- Manage 30% ruling applications, contract amendments and employee offboarding processes.
- Calculate employee-specific costs using internal pricing tools.
- Advise clients and employees on Dutch employment legislation, benefits and employment-related matters.
- Support employee lifecycle activities, including sickness absence management, while ensuring compliance with company processes and Dutch regulations.
Payroll and Billing
- Process monthly payroll for highly skilled migrants, ensuring accuracy, compliance and timely delivery
- Manage one-off and recurring billing activities, including margin controls.
- Maintain accurate employee and payroll data across internal systems.
- Ensure payroll activities comply with relevant legislation and company processes.
- Provide general administrative support to the team as required.
What experience are we looking for?
- 3–5 years' experience supporting immigration or global mobility processes.
- A proactive approach with the confidence to take ownership and solve problems.
- Strong attention to detail and a commitment to delivering high-quality work.
- Well organised, approachable and able to manage multiple priorities effectively.
- Excellent written and verbal communication skills, with the ability to build positive relationships.
- A collaborative team player who enjoys working with colleagues across different teams.
- Proficiency in payroll software/systems.
- Knowledge on IND processes – related to employment of Highly Skilled Migrants.
- Experience in working with diverse clients, multiple languages & cultures.
