Job Description
Columbia Threadneedle Investments is hiring a Team Assistant based in our Amsterdam office, to provide high-quality and proactive team support while ensuring smooth day-to-day office operations. You will act as a trusted partner to the Executives in The Netherlands, protecting and optimizing their time, and maintain an efficient, professional office environment that enables the wider team to perform at their best.
You will provide seamless calendar, travel, meeting and communications management for the Netherlands leadership team. You will also provide reliable office management including handling of facilities, suppliers, meeting rooms, front of house and general office readiness.
How you’ll spend your time…
Calendar & time management:
- Own and optimize a complex diary: scheduling, prioritization, conflict resolution, and meeting logistics.
- Coordinate internal/external meetings, set agendas where needed, and ensure the Executive is prepared.
Meeting & materials support:
- Prepare packs/briefs, coordinate meeting rooms/Teams setup, capture minutes/action items, and follow up to closure.
Travel & expenses:
- Arrange end-to-end travel (air/rail/hotel/ground transport), itineraries, visas where applicable, and contingency plans for The Netherlands, Switzerland & Austria
- Invoice management: coding, approving and liaising with accounts for all invoices for The Netherlands, Switzerland & Austria
Coordination support:
- Track actions and timelines, coordinate small projects, and provide progress updates.
- Support event planning (e.g., team offsites, client visits, seminars) and logistics.
Office readiness & supplier management:
- Maintain office supplies, order replenishments, manage vendor relationships, and control costs where possible.
- Ensure reception/meeting areas are presentable, stocked, and client ready.
Facilities & workplace coordination:
- Liaise with building management/IT/facilities for access, maintenance, moves/changes, and safety concerns.
Records & administration:
- Support onboarding logistics for new joiners (badges, workspace, equipment coordination).
Handle sensitive information with the highest level of care; use sound judgment and secure handling practices.
Identify inefficiencies and propose process improvements (templates, checklists, workflows) to reduce friction and risk.
To be successful in this role you will have…
- Proven experience in a Team Assistant/Personal Assistant/Administrative Assistant or similar role in a fast-paced environment.
- Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
- Familiarity with common corporate tools (e.g., expense, travel, procurement, CRM) is an advantage.
- Exceptional organization, prioritization, and attention to detail.
- Strong written and verbal communication; confident with senior stakeholders.
- Proactive, anticipates needs, solves problems independently, and manages ambiguity.
- Service mindset with calmness under pressure; able to switch priorities quickly.
- High integrity, discretion, and trustworthiness with confidential information.
- Continuous improvement mindset; enjoys building simple, scalable processes.
In-Office Collaboration
We are a client-centric, relationship-based business. Working together, in-person, is foundational to how we achieve results. By fostering a culture of face-to-face collaboration, idea sharing, productivity and personal connection, we deliver for our stakeholders - clients, advisors, employees and shareholders. Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.
Base Pay Salary
The estimated base salary for this role €49,700 to €68,300 per year. Final compensation will be determined based on job- related knowledge, skills, experience, and location. This role may also be eligible for performance-based variable pay and benefits.
