Service Desk Employee (F/M/D)
Leiden | Part-time (0.27 FTE) | As soon as possible
We are looking for a service-oriented and well-organized Service Desk Employee to support our daily office operations. In this role, you will be the first point of contact for colleagues, visitors, and external partners, ensuring a smooth and professional working environment. You will play a key role in maintaining efficient office and facility operations while delivering high-quality administrative, travel, and reception support. In addition, you will coordinate meetings, hospitality, and vendor services, contributing to a welcoming and well-structured workplace. This position is a part-time position for 10 hrs per week (Thursday and Friday mornings).

Your tasks
Processing and handling of Mail, courier, and parcel servoces.
Coordinating and booking travel & accommodation for internal and external stakeholders.
Supporting and booking meetings annd arranging catering.
Managing the reception desk and internal communications.
Supporting the Facilities Team and Internal Operations Team where needed.
Providing general operational support such as building-related assistance, supervising workers on-site, maintaining supply inventories, and ensuring smooth day-to-day office operations.
Responsible for administrative tasks: Updating table of Contents in KLOPTEK for the website, managing monthly UPS invoices, and processing AmEx statements for finance.
Providing hospitality and customer service to guests and colleagues.

Your profile
Very good written and spoken communication skills in Dutch & English
Experience in office administration or facility management.
Strong knowledge of administrative processes.
Proficiency with MS Office applications in the 365 environment.
Basic knowledge of administrative software, booking tools, or ERP systems.
Experience in customer service or reception duties.
Knowledge of meeting and hospitality coordination.
Excellent communication and customer service skills in person, on the phone, and in writing.
Strong organizational skills with the ability to prioritize multiple tasks and effectively meet deadlines.
Basic technical or facility knowledge, such as working with office equipment, coffee machines, or coordinating maintenance.
