We are looking for a highly organized and service-minded employee who enjoys solving problems and helping others. The ideal candidate can work independently, manage multiple priorities, assess information critically, and provide concise recommendations to management.Excellent written and spoken Dutch and English are essential. You will regularly review VvE documentation, government correspondence, contracts, and other formal documents, requiring strong attention to detail, sound judgement and excellent digital skills.Acting as a key point of contact between Japanese management and the Dutch business environment, you will support office management, HR administration (incl insurances and pension), expatriate relocation and a wide range of practical matters. This is primarily an office-based position due to the nature of the role.Candidates with an interest in Japanese culture, Japanese ways of working, and the maritime industry are likely to find this a particularly rewarding role.
<Tasks & Responsibilities>
1. General Affairs & Administrative Tasks
- Reception and visitor support
- Telephone and email correspondence (incl. Dutch communication)
- Office supplies (ordering stationery, IT equipment, consumables, etc.)
- Receiving and shipping of mail and parcels
- Assistance with IT support and maintenance
- Chamber of Commerce (KvK) registrations and corporate filing procedures
- Office environment maintenance (office disaster preparedness, workplace comfort improvement / BHV)
- Asset registration and management (cars, PCs, phones)
- Ad hoc administrative and corporate support tasks as needed
2. HR & Expat Support
- Paid Leave management & time-for-time registration
- Employee on/off boarding procedures
- Pension and insurance management (including contract renewals)
- Draft and update internal policies and procedures and manuals
- Research Dutch regulations and practical administrative requirements
- Coordinating immigration and visa arrangements (IND procedures)
- Practical support during relocations
- Act as the primary point of contact for expat employees and family members
3. Property Management & Housing
- Property management of our real estate;(VVE communication/Maintenance/Repairs/Assist in acquiring new properties, if needed/Arrange housing, utilities for expats, if needed)
<Required Qualifications, Skills, and Abilities>
- HBO or WO degree / or similar (Applied) University degree
- Proficiency in Dutch and English (native level or fluent) for formal and business communications
- Dutch nationality or a valid Dutch work and residence permit is required (if applicable, please specify the visa type)
- Interest in long-term employment
- Strong digital skills, including Microsoft Office, Outlook, Excel, SharePoint, Teams and OneDrive.
Optional
- Dutch Driving license is a plus
- Interest in Japanese culture, business practices, language and/or the maritime industry is highly desirable

【Working Hours】
- 4 or 5 days per week
- Monday–Friday, 8:00–17:45 (except Wednesdays, which end at 13:00)
